Business Makeover: Are Your Business Processes in Order?

I’m excited to talk about business processes because I have over 15 years of experience as a technical project manager while working in Corporate America. The importance of having business processes in place is vital because they help create an organized environment. Having an organized environment can help you be more successful.

So what can be considered a business process? Good Question! According to Wikipedia.org, a business process is “a collection of interrelated tasks, which accomplish a particular goal”. In other words, it’s when you pre-determine which tasks work well together to create a seamless way to achieve what you want to do in your business.

In my business, I have many business processes in place that help me to create a seamless environment. During my business makeover, I have been able to refine my processes and become more efficient. Below is an example of a refined business process.

  • Old way (calendar): receive appointment request, then open calendar & review to see open slots, determine where the appointment could be placed then notify the appointee about the time and date
  • New way (calendar): receive appointment request, forward to my Business Coordinator, who schedules on my Google calendar (which automatically updates my Outlook calendar) & notifies appointee about upcoming appointment
  • Advantage: by allowing my Business Coordinator to manage my calendar it frees me from worrying about how to arrange things and also it allows me to dedicate more time to my clients

By me implementing this simple business process improvement, it put time back onto my calendar that I could invest in other areas of my business. One practice that is also good for business owners is to set aside time occasionally to review your processes to see if they can be improved.

    This is a great topic and one that is often overlooked in entrepreneur discussions. I am a huge fan of process and process improvement. One error that I also see many new businesses make is not making the processes scalable. You should always plan for growth. I have often asked them to consider if the process that works today would still work if they had an influx of 10,000 new customers.     Kim, I find it interesting that you have a Business Coordinator, while I have a Project Manager. I imagine there are some crossover similarities in those positions. I can’t believe the difference it makes for me. Honestly, I realized that I spent more time doing non-design work for my business than I spent focusing on design. That uneven percentage just didn’t make sense. And honestly again – business administration and project management is not my forte.

    These are some good tips… Automating the scheduling is something that I need to adopt myself. Even though I have employees, I still schedule everything myself.

    Yes, creating process or systems in your business will make things flow quicker and more effectively. I also use Google Calendar for my appointments (great to have someone else do the scheduling of your calendar).

    I also have a process when I receive a new client; 1)create hard copy folder 2)create computer file 3)add contact info to Outlook & Palm Centro 4)send thank you note.
    This makes future client communication much easier since it is set up at the beginning of client relationship.
